How we handle your information, on this website and in our private client portal. Last updated October 24, 2026.
Book Detailing is Landon and Kara Wiland's bookkeeping and fractional CFO practice. This policy covers bookdetailing.com and the private client portal at portal.bookdetailing.com, where our clients see the state of their businesses. Questions about it go to info@bookdetailing.com.
On this website
This site sets no advertising or tracking cookies. We count visits with Cloudflare Web Analytics, which uses no cookies and stores nothing on your device. If you email or call us, we use what you send only to reply and to talk with you about working together.
What the client portal collects
Your sign-in. Your name and email address. If you sign in with a password, it's stored only as a secure one-way hash; nobody at Book Detailing can see it. Our own team signs in with Google, with two-step verification.
Your businesses' financial information. When you, or we with your permission, connect a bank or credit card account through Plaid: account names and last digits, balances, transactions, and card statement details such as the statement balance, minimum payment, due date and interest rates. Bills and invoices from QuickBooks. What you and we add in the portal: questions, replies, notes, approvals and attached files.
A record of activity. Who changed what, and when. It's kept as an audit trail of your books.
How we use it
To keep your books, track and pay bills, forecast cash, show you your portal, and answer your questions. We don't sell your information, rent it, or use it for advertising.
Who helps us run the portal
We share information only with the services that run the portal for us, each under its own security and privacy commitments:
- Plaid connects bank and card accounts. Plaid's End User Privacy Policy explains how Plaid handles your data.
- Netlify hosts the website and the portal and stores the portal's data.
- Google handles our team's sign-in.
- Intuit QuickBooks is where your books are kept.
- Anthropic provides the Claude AI tools we use in our bookkeeping work, and the connector you can choose to use with your own Claude account.
- Cloudflare counts visits to this website.
We also share information when the law requires it. Each client's portal is kept separate: one client's information never reaches another client.
How we protect it
Everything travels over encrypted connections (HTTPS). Bank and card data, and the keys to each bank connection, are encrypted where they're stored, with a key unique to each client. Every person has their own sign-in, our team signs in with two-step verification, access ends the moment someone is removed, and every change is logged.
How long we keep it, and deleting it
We keep your information while we work together. Bank and card data stays only as long as its connection is in place. Each night we keep a backup copy of the portal's records for 35 days, and the first copy of each month for seven years, because business records have to be kept that long. Bank and card data isn't included in those backups.
When our work together ends, or whenever you ask, we disconnect your bank and card connections, which ends Plaid's access too, and delete the bank and card data we stored, within 30 days. We delete the rest of your portal information at the same time, except records the law or our professional obligations require us to keep; those expire on the schedule above.
Your choices
Ask us at any time to see, correct or delete your information, or to disconnect an account: info@bookdetailing.com. You can also see and remove the connections you've made through Plaid at my.plaid.com.
Children
Our services are for businesses and aren't directed to children under 13.
